(4) We always treat your personal data confidentially and will never sell it to third parties. The data you provide will be passed on to operators and landlords of business centers both inside and outside the EU, depending on the location and interest. This transmission is necessary so that they can make offers, create quotes, and possibly conclude a contract with you. The legal basis for such processing is Art. 6 para. 1 lit. b) GDPR. If you are contacted by our business partners (business center operators/landlords), we recommend that you read their privacy policy if you want to understand how they process your personal data.

(5) In case we want to use contracted service providers for individual functions of our offer or wish to use your data for ongoing consulting, we will inform you in detail below about the respective processes. We will also specify the criteria for the storage duration.

§ 2 Your Rights

You have the following rights concerning your personal data:

(1) Right to Information
We are happy to inform you whether your personal data is being processed; if this is the case, you have the right to be informed about this personal data and to receive the information specified in Art. 15 GDPR in detail. Moreover, you have the right to correction (Art. 16 GDPR), the right to restrict processing (Art. 18 GDPR), the right to deletion (Art. 17 GDPR), and the right to data portability (Art. 20 GDPR) under the respective legal conditions.

(2) Right to Revoke
According to Art. 21(1) GDPR, you have the right to object at any time, on grounds relating to your particular situation, to processing of personal data concerning you which is based on Art. 6(1) sentence 1 lit. E GDPR (data processing in the public interest) or on Art. 6(1) sentence 1 lit. F GDPR (data processing for the protection of a legitimate interest). In the event of your objection, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights, and freedoms, or for the establishment, exercise, or defense of legal claims.

(3) Right to Lodge a Complaint
You also have the right to lodge a complaint with a data protection supervisory authority about the processing of your personal data by us.

§ 3 Collection of Personal Data when Contacting Us by Email and Contact Form

When you contact us by email or via a contact form, the data you provide (your email address, your name, the name of your company, your telephone number, and your inquiry profile) will be stored by us to answer your query about a rental offer. The legal basis for this is Art. 6 para. 1 S. 1 lit. f GDPR. The data collected in this context will be deleted once they are no longer needed for the purpose of their collection, your request has been fully processed, and no further communication with you is necessary or desired by you.

§ 4 Collection of Personal Data when Signing Up for Newsletters with Your Consent

With your consent, you can also sign up to occasionally receive updates about the flexible office market and the latest workplace trends. You may also receive recommendations for office spaces based on your previous search criteria.
To receive the newsletter, we only require your email address. The provision of additional, separately marked data is voluntary and serves the purpose of personal contact with you. With your consent, we store your email address to send you our news & updates. Legal basis: Article 6(1) sentence 1 lit. a GDPR. You can revoke your consent to receive our news & updates at any time and will be removed from the mailing list. This can be done by clicking on the unsubscribe link provided in every newsletter, or by writing to us at privacy@allofficecenters.com.

§ 5 Collection of Personal Data When Visiting Our Website

(1) Collection of Technical Data
When using the website for informational purposes only, i.e., if you do not register or otherwise provide us with information, we only collect the personal data that your browser transmits to our server. If you wish to view our website, we collect the following data, which is technically necessary for us to display our website to you and to ensure stability and security (the legal basis is Art. 6 para. 1 S. 1 lit. F GDPR, as far as an absolutely necessary access to information stored in the user’s terminal device takes place, also § 25 para. 2 no. 2 TTDSG):

(2) Storage of Cookies
In addition to the previously mentioned data, cookies are stored on your computer when you use our website. Cookies are small text files that are stored on your hard drive assigned to the browser you are using and through which the entity that sets the cookie (in this case, us) receives certain information. Cookies cannot execute programs or transfer viruses to your computer. They serve to make the Internet offer more user-friendly and effective overall.

b) Transient Cookies

To the extent that consent can be bundled according to the GDPR and TTDSG, we will obtain it uniformly.
No consent according to TTDSG is required for access to information already stored in your terminal device and sent to us by active transmission, including the public IP address of the terminal device, the address of the accessed website, the user-agent string with browser and operating system including version, and the set language.
Furthermore, no consent according to TTDSG is required if the cookie or similar technology is used to ensure the execution of the transmission of a message over a public telecommunications network (§ 25 para. 2 no. 1 TTDSG) or as far as the setting of the cookie and thus the storage of information in your terminal device or access to information already stored in your terminal device is absolutely necessary for the provision of a telemedia service expressly requested by you (§ 25 para. 2 no. 2 TTDSG).

c) Persistent Cookies
Persistent cookies are automatically deleted after a specified duration, which may vary depending on the cookie. You can delete the cookies at any time in the security settings of your browser.

d) Configuration of Cookie Settings
You can configure your browser settings according to your wishes and, for example, refuse to accept third-party cookies or all cookies. We would like to point out that you may not be able to use all functions of this website.

e) Use of Further Cookies
Flash cookies are used for playing media content. The Flash cookies used are not captured by your browser but by your Flash plug-in.

If you do not wish Flash cookies to be processed, you must install a corresponding add-on, e.g., “Cookiebro” for Mozilla Firefox (https://addons.mozilla.org/de/firefox/addon/cookiebro/) or the Adobe Flash Killer Cookie for Google Chrome.

Furthermore, we use HTML5 storage objects that are stored on your terminal device. These objects store the required data independently of your browser and have no automatic expiration date.
You can prevent the use of HTML5 storage objects by using your browser’s private mode. We also recommend manually deleting your cookies and browser history regularly.

(4) Cookie Consent with Borlabs Cookie
This website uses Borlabs Cookie consent technology to obtain your consent to store certain cookies in your browser and to document this in compliance with data protection regulations. The provider of this technology is Borlabs – Benjamin A. Bornschein, Rübenkamp 32, 22305 Hamburg (hereinafter referred to as Borlabs).
When you enter our website, a Borlabs cookie is stored in your browser, in which the consents you have given or the revocation of these consents are stored. This constitutes an absolutely necessary access to information stored in the user’s terminal device, which is based on § 25 para. 2 no. 2 TTDSG. §  6 Use of Google Tag Manager

This website uses the “Google Tag Manager,” a service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (hereinafter referred to as “Google”).

The Google Tag Manager provides a technical basis for bundling various web applications, including tracking and analysis services, and for calibrating, controlling, and conditioning them via a unified user interface. The Google Tag Manager itself does not store any information on user devices or read from them. Nor does the service perform its own data analyses. However, the Google Tag Manager does transmit your IP address to Google when a page is called up and it may be stored there. Transmission to Google LLC servers in the USA is also possible.

This processing only takes place if you have given us your explicit consent according to Art. 6 para. 1 lit. a GDPR. Without this consent, Google Tag Manager will not be used during your visit to the site. You can revoke your consent at any time with effect for the future. To exercise your revocation, please deactivate this service in the cookie consent banner provided on the website.

We have entered into a data processing agreement with the provider, which ensures the protection of our visitors’ data and prohibits unauthorized disclosure to third parties.

For data transfers to the USA, the provider has joined the EU-US Data Privacy Framework, which, based on a decision of adequacy by the European Commission, ensures compliance with the European level of data protection.

§ 7 Use of Google Analytics

(1) Cookies
Google Analytics uses so-called “cookies,” text files that are stored on your computer and enable an analysis of your use of the website. The information generated by the cookie about your use of this website is usually transmitted to and stored by Google on servers in the United States. If IP anonymization is activated on this website, your IP address will be truncated by Google within the member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, compile reports on website activity, and provide other services related to website and internet usage to the website operator.

(2) No merging of IP addresses with other services
The IP address transmitted by your browser as part of Google Analytics will not be merged with other data from Google.

(3) Anonymous Data Collection
This website uses Google Analytics with the extension “_anonymizeIp.” As a result, IP addresses are processed in shortened form, meaning that direct personal reference can be excluded. If the data collected about you is personally identifiable, this is immediately excluded, and the personal data are promptly deleted.

§ 8 Google Ads and Google Analytics Remarketing

(1) Use of Google Ads
We use the service Google Ads. Google Ads is an online advertising program by Google LLC, 1600 Amphitheatre Parkway Mountain View, CA 94043, USA. The responsible entity for users in the EU/EEA and Switzerland is Google Ireland Limited, Google Building Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland.

(2) Remarketing Ads
This means we place Google Ads advertisements and, in this context, also use Google Remarketing and Conversion Tracking. The ads are displayed following search queries on websites in the Google advertising network. We also use Ads remarketing lists for search ads. This enables us to adjust search ad campaigns for users who have already visited our website. Through these services, we have the ability to combine our ads with specific search terms or to place ads for previous visitors, advertising, for example, services that visitors have viewed on our website. Thus, we can display interest-based advertising to users of our website on other websites within the Google advertising network (as “Google Ad” within Google Search or on other websites).

(3) Analysis of User Behavior via Cookies
Interest-based offers require an analysis of online user behavior. Google uses cookies to perform this analysis. When you click on an ad or visit our website, a cookie is set on the user’s computer by Google. These cookies have a lifespan of 90 days. We do not receive information that allows us to personally identify visitors. Your IP address is transmitted to Google, but since we use Google’s IP masking on this website as part of Google Analytics, your IP address is anonymized. The statistics provided to us by Google include the total number of users who clicked on one of our ads and, if applicable, whether they were redirected to a page of our web presence marked with a conversion tag. Based on these statistics, we can understand which search terms led to our ads being clicked particularly often and which ads lead to a user contacting us via the contact form.

(4) Data Protection Outside the EEA
Where data is processed outside the EEA, where the level of data protection does not correspond to European standards, we have concluded EU standard contractual clauses with the service provider to establish a secure level of data protection.

(6) Data Collection After Consent

§ 9 Google Ads and Google Analytics Conversion Tracking

(1) This website uses Google Ads. Ads is an online advertising program by Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.

(2) Conversion Tracking
As part of Google Ads, we utilize so-called conversion tracking. When you click on an ad served by Google, a conversion tracking cookie is placed. These cookies are small text files that the internet browser places on the user’s computer. These cookies expire after 30 days and are not used to personally identify users. If the user visits certain pages of this website and the cookie has not yet expired, Google and we can tell that the user clicked on the ad and was redirected to this page.

(3) Anonymous Conversion Tracking Cookies and Consent under GDPR
Each Google Ads customer receives a different cookie. Cookies cannot be tracked via the websites of Ads customers. The information gathered using the conversion cookie is used to generate conversion statistics for Ads customers who have opted for conversion tracking. § 10 Use of social media cookies

(1) Facebook Pixel
We use the Custom Audiences service from Meta Platforms, Inc., 1601 S. California Avenue, Palo Alto, CA 94304, USA (referred to as “Facebook” herein) as part of interest-based online advertising. To this end, we define target audiences of users based on specific characteristics within the Facebook Ads Manager, who are then shown advertisements within the Facebook network. Users are selected by Facebook based on the profile information they have provided and other data provided through the use of Facebook. If a user clicks on an advertisement and is then redirected to our website, Facebook receives information through the Facebook Pixel integrated on our website that the user clicked on the advertisement. A non-reversible and non-personal checksum (hash value) from your usage data is generally generated and transmitted to Facebook for analysis and marketing purposes. A Facebook cookie is set, capturing information about your activities on our website (e.g., browsing behavior, visited sub-pages, etc.). Your IP address is also stored and used for geographic targeting of advertisements. We do not use Facebook Custom Audiences via the customer list or the “advanced matching” function.

(2) Pinterest Tag and Pinterest Conversion Tracking
This website uses the conversion tracking technology of the social network Pinterest (Pinterest Europe Ltd., Palmerston House, 2nd Floor, Fenian Street, Dublin 2, Ireland), which allows us to show relevant advertisements and offers on Pinterest to our website visitors who have shown interest in our website and our content/offers and are Pinterest members. For this purpose, a so-called conversion tracking pixel from Pinterest is integrated on our pages, which informs Pinterest during your visit to our website that you have accessed our website and which parts of our offer you were interested in.

Log data can be stored, including information about your browser, IP address, the address of our website, and the activities carried out on it (for example, when you click the Save or Pin button), search history, date and time of the request, and cookie and device data. If you interact with an embedded Pinterest function, cookies that store various data can also be set in your browser. The log data mentioned above, preset language settings, and clickstream data are mostly stored in cookies. Pinterest understands clickstream data to mean information about your website behavior. If you have a Pinterest account and are logged in, the data collected via our site can be added to your account and used for advertising purposes.

Pinterest generally stores the collected data until it is no longer needed for the company’s purposes. Pinterest uses EU-approved standard contractual clauses as the basis for data processing with recipients located in third countries (outside the European Union, Iceland, Liechtenstein, Norway, especially in the USA) or for data transfer there. These clauses oblige Pinterest to maintain the EU level of data protection when processing relevant data outside the EU. These clauses are based on an implementing decision by the EU Commission. (3) LinkedIn Insight Tag
This website uses the LinkedIn Insight Tag. The service provider is LinkedIn Ireland Unlimited Company, Wilton Plaza, Wilton Place, Dublin 2, Ireland.

With the help of the LinkedIn Insight Tag, we obtain information about visitors to our website. If a website visitor is registered on LinkedIn, we can analyze, among other things, the professional data (e.g., career level, company size, country, location, industry, and job title) of our website visitors, allowing us to better tailor our site to the respective target groups. Furthermore, with the LinkedIn Insight Tag, we can measure whether visitors to our websites make a purchase or take another action (conversion measurement). Conversion measurement can also occur across devices (e.g., from PC to tablet). The remaining pseudonymized data are then deleted within 180 days. The data collected by LinkedIn cannot be attributed to specific individuals by us as the website operator.

We process this data to evaluate our advertising campaigns. The legal basis for processing is your voluntary consent in accordance with Art. 6 para. 1 lit. a) GDPR. Without your consent through our consent tool, no data processing for LinkedIn Conversion Tracking will occur. You can revoke a given consent at any time with future effect by changing your selection in the cookie settings.

§ 11 Newsletter

(1) Consent to the Newsletter
With your consent, you can subscribe to our newsletter, through which we inform you about our current interesting offers or available office spaces.

(2) Mandatory Information
The only mandatory information for sending the newsletter is your email address. The provision of additional, separately marked data is voluntary and will be used to address you personally. After your confirmation, we will store your email address for the purpose of sending the newsletter. The legal basis is Art. 6 para. 1 S. 1 lit. a GDPR.

(3) Revocation
You can revoke your consent to receive the newsletter at any time and unsubscribe from the newsletter. You can declare the revocation by clicking on the link provided in every newsletter email, via this form on the website, or by email to the contact details provided in the imprint (privacy@allofficecenters.com).

§ 12 Use of Plugins and Tools

Sentry
To ensure technical stability and to improve the quality of our service, we use the service Sentry (Address: Sentry, 1501 Mariposa St #408, San Francisco, CA 94107, USA).

This error management tool helps us monitor system stability and identify programming errors. User data is not processed for advertising purposes. Information such as device data or the timing of errors is collected anonymously and processed without reference to individuals. After use, this data is deleted.

The processing of data is based on Art. 6 para. 1 S. 1 lit. f of the General Data Protection Regulation (GDPR).

§ 13 Data Transmission

Your data is generally not transferred to third parties, except in the cases mentioned, unless we are legally obligated to do so, or the data transfer is necessary for the execution of the contractual relationship, or you have previously expressly consented to the transfer of your data.

External service providers and partner companies, such as online payment providers or the shipping company commissioned with delivery, only receive your data to the extent necessary to process your order. In these cases, the scope of the transmitted data is limited to the necessary minimum. Insofar as our service providers come into contact with your personal data, we ensure in the context of order processing according to Art. 28 GDPR that they comply with the regulations of the data protection laws in the same way. Please also note the respective privacy policies of the providers. The respective service provider is responsible for the content of external services, although we, within reason, review the services for compliance with legal requirements.

We place value on processing your data within the EU/EEA. However, it may happen that we use service providers that process data outside the EU/EEA. In these cases, we ensure that an adequate level of data protection, comparable to the standards within the EU, is established with the recipient before transferring your personal data.

§ 14 Data Security

We have taken extensive technical and operational precautions to protect your data from accidental or intentional manipulation, loss, destruction, or access by unauthorized persons. Our security procedures are regularly reviewed and adapted to technological progress.
